# Ledgerpair

> Two ledgers in. A ready balance confirmation out.

Drop in your Tally ledger and the party’s statement, in whatever format they send it. Ledgerpair reads both, checks every figure against the printed totals, matches the entries and hands you a reconciliation you can send, file or sign off.

## How it works

Two ledgers of the same account, one from each party. The rest takes a few minutes.

1. **Upload both ledgers.** Your ledger for the party and the one they sent you, as PDF, Excel or CSV.
2. **Every figure is checked.** Each file is added up and compared with its own printed totals before anything is matched. You confirm the columns.
3. **Entries are matched.** Invoices, notes and payments are paired across the two ledgers. Near-misses are flagged for you.
4. **The difference is explained.** The gap between the two balances is broken into its causes, each with a sentence you can forward as it is.
5. **Send the statement.** Download the PDF statement for the other party to confirm, and the Excel workbook for your file.

## What it does

Everything here works today, on your ledgers and the other party’s.

### Reading the ledgers

- **PDF, Excel or CSV:** Tally exports and ERP statements, as text PDFs, Excel workbooks or CSV files. Scanned PDFs are not supported yet.
- **Checked against its own totals:** Opening balance, carried and brought forward, page totals and closing balance are checked on every file before anything is matched. A page that does not add up is read once more, carefully.
- **Columns you confirm:** Each side gets a suggested mapping: dates, document numbers, debit and credit, or a single amount with Dr/Cr. Change any of it.

### Matching the entries

- **Invoices and notes by number:** Invoices, credit notes and debit notes are paired by document number, even with a small typo such as a missing slash.
- **Payments by amount and date:** Payments are paired by amount within a window of dates, nearest date first.
- **Split payments:** One payment on one side against up to four entries on the other.

### Explaining the difference

- **In plain English:** TDS deducted by the other party, opening balance differences and timing, payments in transit, entries missing from one side, amount differences and small rounding, each as a sentence with the entries behind it.
- **You have the last word:** Accept or unmatch any flagged match and the totals update. One click undoes all your changes.

### Sending it out

- **A PDF statement to confirm:** A statement of reconciliation with an annexure of the reconciling entries, ready to send to the other party for balance confirmation. It works from the receivable or the payable side.
- **An Excel workbook to keep:** Summary, statement, matched entries, entries on one side only, items to review, and the read checks for each file.
- **Private and invite-only:** Each account sees only its own reconciliations. Files and results are stored in Mumbai.

## The ₹15,449, explained

A real pair of ledgers with the party names removed: your firm’s Tally ledger for a customer, and the statement the customer sent from their ERP.

- **Your books:** 177 entries read. Closing balance ₹39,47,925.00. Totals agree with the printed ledger.
- **The customer’s books:** 263 entries read. Closing balance ₹39,32,476.00. Totals agree with the printed ledger.
- **Matched:** 164 invoices and notes and 9 payments paired across the two ledgers. Three were flagged for a second look: two with dates far apart, one with a mistyped document number.

### TDS not booked by your firm: ₹7,870.00

“The customer deducted TDS on 90 entries (1 Sep 2025 – 31 Mar 2026) that your firm hasn’t recorded. Your firm should check Form 26AS and book it as TDS receivable.”

### Opening balance difference: ₹7,579.00

“Opening balances on 1 Apr 2025 differ by ₹45,87,512. ₹45,79,933 of that is 4 payments your firm recorded in 8 Apr 2025 – 16 May 2025 that the customer appears to have recorded before the period started. The remaining ₹7,579 comes from before this period. Attach last year’s ledgers to explain it.”

Both explanations go into the PDF statement of reconciliation and the Excel workbook, with every entry behind them listed.

## What you can rely on

- **The AI only transcribes.** A language model copies the entries off each page. Every total, match and difference is worked out by ordinary code, so the same two files always give the same answer.
- **It stops when the figures disagree.** If a file does not add up to its own printed totals, nothing is matched and you are shown the page.
- **Stored in Mumbai.** Ledger files and results are stored in Mumbai, and the app runs there. Page contents are sent to an AI model only to be transcribed.
- **Private by design.** The database itself keeps each account’s reconciliations apart, not just the screens. Accounts are by invitation only.

**What counts as a reconciliation.** One reconciliation covers both ledgers, up to 40 pages between them. Longer ledgers count once for every 40 pages, and you see the count before reading starts. Uploading the same file again is free. Files can have up to 150 pages.
